Job Description

As our Director of Operations, you will lead the day-to-day execution across financial management, HR, legal, compliance, and strategic planning. You’ll ensure our house is in order — and ready to grow.

Key Responsibilities

Financial and Accounting

  • Oversee all invoice payments, vendor payments, and receipt of funds.
  • Manage relationships with financial platforms (e.g., Zeni, MyTaxDC, JPMorgan).
  • Ensure compliance with federal, local, and international (EU/Greece) regulations.
  • Develop and monitor budgets to support company growth and sustainability.
  • Coordinate insurance coverage (e.g., business liability, professional, etc.) to minimize risk.

Human Resources

  • Oversee HR systems and processes with tools like Rippling.
  • Manage payroll and benefits, including Human Interest 401(k) and other perks.
  • Supervise immigration/visa processes to ensure compliance.
  • Facilitate employee training programs and professional development initiatives.

Compliance & Administration

  • Manage E-Verify processes and ensure compliance with federal employment guidelines.
  • Oversee organizational folder structuring and data management for maximum efficiency and security.
  • Serve as a key point of contact for any administrative or compliance matters.

Legal

  • Coordinate board consents, ensuring timely approvals and signatures.
  • Oversee the DocuSign process for all critical legal documents.
  • Maintain corporate records, contracts, and other legal documents in compliance with local, state, federal, and international (EU) requirements.

Stakeholder Management

  • Oversee stakeholder relations on platforms like Carta, ensuring cap tables and equity distributions are accurate and up to date.
  • Collaborate with internal and external parties to maintain transparent and productive relationships.

Reporting & Strategy

  • Provide annual, quarterly, and weekly updates on operational metrics and company performance.
  • Set and monitor Key Performance Indicators (KPIs) to measure organizational efficiency and growth.
  • Use data-driven insights to recommend strategic initiatives and improvements.

Qualifications

  • 5+ years of experience in operations leadership, finance, HR, or a related area.
  • Proven track record of managing diverse teams and overseeing multiple functional areas (finance, legal, accounting, HR, compliance, etc.).
  • Strong understanding of tools like Rippling, DocuSign, and Carta (or similar platforms).
  • Excellent communication, negotiation, and stakeholder management skills.
  • Exceptional organizational abilities and attention to detail.
  • Familiarity with insurance requirements, immigration processes, and federal/state compliance regulations.
